What to Expect When Working With Me: My Client Intake Process

Starting with a bookkeeper can feel overwhelming—especially if your books feel messy, behind, or confusing. My goal is to make this transition simple and stress-free.

Here’s a clear look at what you can expect when we work together:

1. Initial Contact

When you reach out (whether through my website, email, or social media), I’ll respond promptly and invite you to schedule a free consultation call.

2. Consultation Call

This is our chance to get to know each other. I’ll ask about:

  • What your business does
  • What’s going well
  • Where your pain points are
  • How you currently track your bookkeeping (if at all)
  • And, because I love hearing these stories, what inspired you to start your business

This conversation helps us both decide if working together feels right. I’m a big believer that the gut feeling matters just as much as what looks good on paper (or spreadsheets; you know who you are…)

I’ll also share a bit about my business, what I offer (and what I don’t), my availability, and some general pricing. Regardless of whether you asked for it or not, you are also likely to get some complimentary, “low-hanging fruit” type financial suggestions along the way if it seems like it would be useful to your situation, as this eagerness to help is one of the biggest reasons I started in business.

3. Document Access & Review

Before I can create a tailored proposal, I’ll need to take a closer look at your books. At this stage, I’ll request secure access to your bookkeeping software, along with recent bank statements, credit card statements, and any loan documents that you have.

This allows me to:

  • Understand the current state of your books
  • Identify whether cleanup is needed
  • Accurately determine the scope of services and pricing

Don’t worry about things being perfectly organized—I’ll guide you step by step.

4. Proposal

Once I’ve reviewed your records, I’ll send you a customized proposal. This lays out:

  • The services I’ll provide
  • Pricing and billing structure
  • How we’ll communicate
  • Timelines


This way, everything is clear and transparent before we move forward.

5. Engagement Letter & Invoice

If the proposal feels right to you, I’ll send over an engagement letter (our formal agreement) along with the first invoice. The letter outlines the details of our working relationship, and once it’s signed electronically and the invoice is paid, we’re officially set to begin.

6. Onboarding & Setup

With the agreement in place, I’ll send you a welcome email with simple instructions and a checklist of anything else I’ll need. If we haven’t already set up your accounting software or gathered full access to your accounts, we’ll finish that here.

7. Kickoff & First Review

I’ll review your current books more thoroughly (or help you start fresh if you don’t have them yet). If cleanup is needed, we’ll tackle that first. Then I’ll set up a system to keep everything running smoothly moving forward.

8. Ongoing Bookkeeping

From here, I will take over the bookkeeping tasks specified in the proposal and engagement letter. I will reach out when I find any missing information or need clarification. You’ll receive clear, regular reports so you always know where your business stands—without the stress of managing the day-to-day upkeep.
